Type of Employment: Full-time– Permanent Estimated Start Date: As soon as possible Job Description Coordinate the flow of information within the team Direct and control daily operations Plan and control budget and expenditures Train staff Record and prepare minutes of meetings Determine and establish office procedures and routines Oversee the classification and rating of occupations Schedule and confirm appointments Answer telephone and relay telephone calls and messages Oversee the analysis of employee data and information Answer electronic enquiries Compile data, statistics and other information Oversee the preparation of reports Respond to employee questions and complaints Order office supplies and maintain inventory Arrange travel, related itineraries and make reservations Set up and maintain manual and computerized information filing systems Type and proofread correspondence, forms and other documents Perform data entry Maintain and manage digital database Perform basic bookkeeping tasks Drive to company’s PO box to collect correspondence Drive to pick up material and office supplies Drive and attend to site meetings Requirements: Education: Completion of high school is required. Experience: At least 6 months of previous clerical experience are required. In the event that the candidate does not have 6 months of previous clerical experience, then completion of a one- or two-year college or other program for administrative assistants or secretaries is required. A valid driver’s license (class G) is required. Computer and technology knowledge: Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, Adobe Photoshop, MS Project, Project management software, MS Office, Quick Books, Adobe Acrobat Reader. Working Conditions and Physical Capabilities: Ability to work independently, Fast-paced environment, Work under pressure, Tight deadlines, Attention to detail, Repetitive tasks, Large workload. Personal suitability: Ability to multitask, Excellent oral and written communication, Flexibility, Judgement, Organized, Team player, Accurate, Client focus, Reliability, Time management, Accountability, Dependability.
